Brolly Agency (“Brolly”, “we”, “us”) is the trading name of Brolly Software Solutions Private Limited (CIN U72200TG2013PTC089551), a company registered in India with its office at 3rd Floor, Dr. Atmaram Estates, Metro Pillar No. A689, Vasantha Nagar Main Road, Hyder Nagar, Hyderabad, Telangana 500072.
This policy explains what personal data we collect through brolly.agency and our enquiry channels, why we collect it, how long we keep it, and the rights you have under the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000. For the purposes of the DPDP Act, Brolly Software Solutions Private Limited is the Data Fiduciary for the personal data described here.
1. What we collect and why
Enquiry and lead forms
When you fill in a form on this website (including the “Get a free growth audit” pop-up and the Contact page), we collect what you type: your name, email address, mobile number, business name, your website or Instagram address, and your message.
We use this to reply to your enquiry, review your online presence as you asked, send you the audit or proposal you requested, and follow up by phone, WhatsApp or email about that request. This is processing based on your consent, which you give by submitting the form. Fields marked as required are needed to respond to you; the rest are optional.
Each submission also records the date, time, the page you were on and your IP address. We use these to prevent spam and abuse of the forms.
WhatsApp and phone
If you message or call us on +91 81420 44555, we receive your phone number, your name as shown on WhatsApp, and what you send. WhatsApp is operated by Meta Platforms, whose own privacy terms apply to the transmission of your messages.
If you write to brollyagency@gmail.com, we keep your email and our correspondence so we can respond and keep a record of the conversation.
Website analytics
We use Google Analytics 4 to understand how visitors use the site: pages viewed, time on page, approximate location (city level), device and browser type, and the source that brought you here. Google Analytics uses cookies and similar identifiers. We do not send it your name, email or phone number. Google may process this data on servers outside India. You can opt out with Google’s browser add-on at tools.google.com/dlpage/gaoptout, or by blocking cookies in your browser.
Fonts and technical data
Our pages load fonts from Google Fonts, which means your browser sends your IP address to Google when a page loads. Our hosting provider also keeps standard server logs (IP address, time, pages requested) for security and troubleshooting.
Cookies
We use cookies only for analytics (Google Analytics) and for basic site functions such as remembering that you have already seen a pop-up. We do not use advertising or retargeting cookies on this website at present. If that changes, we will update this policy and ask for your consent where the law requires it.
2. What we do not do
- We do not sell, rent or trade your personal data.
- We do not add you to a marketing list unless you have asked to hear from us.
- We do not use your data for automated decisions that have a legal or similarly significant effect on you.
- We do not knowingly collect personal data from children under 18. Our services are for businesses.
3. Who we share data with
We share personal data only with providers who help us run the website and respond to you, and only as far as needed for that purpose:
- Website hosting and WordPress — form submissions are stored in our website database.
- Google — Analytics and Fonts, as described above.
- Email providers — form submissions are emailed to our team.
- Meta Platforms (WhatsApp) — if you choose to contact us on WhatsApp.
- CRM or follow-up tools we may use to track enquiries and reply on time.
Some of these providers process data on servers outside India, including the United States. Where that happens, we rely on the provider’s own commitments to protect your data. We may also disclose data if the law requires it, or to protect our legal rights.
4. How long we keep it
- Enquiries that do not become client work: up to 24 months from your last contact with us, so we can respond if you come back, then deleted.
- Client and prospective-client records: for as long as we work together and for up to 8 years afterwards, to meet accounting, tax and contract obligations under Indian law.
- Analytics data: retained by Google Analytics for 14 months.
- Server logs: typically 30 to 90 days.
We may keep data longer if a legal obligation or dispute requires it, and we delete or anonymise it once the purpose for keeping it has ended.
5. Your rights
Under the DPDP Act you can:
- Access — ask for a summary of the personal data we hold about you and how we have used it.
- Correct or update — ask us to fix inaccurate or incomplete data.
- Erase — ask us to delete your data, which we will do unless we must keep it for a legal reason.
- Withdraw consent — at any time, with the same ease you gave it. We will stop the processing that depended on that consent; this does not affect what was done before you withdrew it.
- Grievance redressal — raise a complaint with us and have it answered.
- Nominate — name another person to exercise these rights for you if you are unable to.
To use any of these rights, email brollyagency@gmail.com with “Privacy request” in the subject line, or write to the address above. We may ask you to confirm your identity first. We aim to respond within 30 days.
If you are not satisfied with how we handle your request, you may complain to the Data Protection Board of India once it is operational, or to any other authority the law provides.
6. How we protect your data
Our website uses HTTPS encryption. Access to form submissions and client records is limited to team members who need them to respond to you. We keep our website software updated and use spam protection on our forms. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we take reasonable steps appropriate to the data we hold and the risk involved.
7. Links to other sites
Our website links to other sites, including client websites, social media profiles and Google services. We are not responsible for their content or privacy practices. Please read their policies before giving them any personal data.
8. Changes to this policy
We may update this policy as our services, tools or the law change. The “Last updated” date at the top shows the current version. Material changes will be highlighted on this page.
